Our events policy remains fluid to reflect how UAMS, as a healthcare institution, is currently operating under pandemic conditions. It is important for UAMS events and activities to set a good example for our communities and state. In addition to biomedical and clinical approaches to combating COVID-19, public engagement in preventive efforts is the social responsibility of individuals. Please consider the following requirements when planning an event:

Inside Events, On Campus:

  • The "in-person" audience is no longer limited to UAMS staff and students only. Please be reasonable and responsible with the number of external guests invited.
    • Individuals are not to attend the event if they have any of the following: cough, sore throat, shortness of breath, chills, new onset muscle ache not explained by exercise or activity, loss of taste or smell, or fever greater than 100.4 degrees in the last 24 hours.
      • UAMS employees no longer qualify for paid leave for COVID exposures confirmed by Student and Employee Health Services (SEHS) to not be work-related (exposure happened away from work.) For such exposures, the absenteeism policy will apply. Employees will need to use sick and/or vacation leave.*
    • Individuals are not to attend the event if they should be in quarantine.
    • It is up to the department hosting the event to send instructions on parking and where to enter the building.
    • If they are not going into the hospital, visitors do not need to be screened. Event organizers may choose to require screening of attendees.
  • Face masks must be worn at all times in UAMS facilities, regardless of vaccination status or age, except when eating or drinking. Speakers and presenters may remove masks during presentations.
    • Masks are to be made available at venue entrances for external guests. It is the responsibility of the hosting department to obtain masks. These can be purchased through supply chain operations and logistics.
  • We are operating at 100% capacity at on-campus venues.
  • Food and beverage may be served under the following guidelines:
    • Grab-and-go options or individually packaged meals are preferred.
    • Plated meals may be offered when served by a licensed restaurant or caterer.
    • Buffets and appetizer lines are allowed as long as catering staff serves each item. No self-serve is allowed.
    • All catering staff must wear a mask and gloves.
    • Potlucks and homemade items not prepared by a licensed restaurant or caterer are not allowed.
    • If food and beverage is served, booking a location which can accommodate 3 feet of social distancing per person is recommended. ReserveRoom@uams.edu can help you find a space that is accommodating for your group on central campus.
    • While eating, attendees are highly encouraged to social distance.

Inside Events, Off Campus:

  • We encourage groups to use caution and adhere to recommended health guidelines.
  • If food and beverage is served, request venue/catering staff to be masked and gloved and to serve items whenever possible.
  • The "in-person" audience is open to the public as well as UAMS staff and students.
    • Individuals are not to attend the event if they have any of the following: cough, sore throat, shortness of breath, chills, new onset muscle ache not explained by exercise or activity, loss of taste or smell, or fever greater than 100.4 degrees in the last 24 hours.

  • The "in-person" audience is open to the public as well as UAMS staff and students.
    • Individuals are not to attend the event if they have any of the following: cough, sore throat, shortness of breath, chills, new onset muscle ache not explained by exercise or activity, loss of taste or smell, or fever greater than 100.4 degrees in the last 24 hours.
      • UAMS employees no longer qualify for paid leave for COVID exposures confirmed by Student and Employee Health Services (SEHS) to not be work-related (exposure happened away from work.) For such exposures, the absenteeism policy will apply. Employees will need to use sick and/or vacation leave.*
    • Individuals are not to attend the event if they should be in quarantine.
  • Masks are not required for outdoor events, but social distancing is encouraged.
  • On campus, masks are required for indoor event components such as bathrooms or other enclosed spaces.
  • Food and beverage may be served under the following guidelines:
    • Grab-and-go options or individually packaged meals are preferred.
    • Potlucks and homemade items not prepared by a licensed restaurant or caterer are not allowed.
    • Hand sanitizer stations must be placed on all food tables.
